We are currently looking for a Senior Workplace Coordinator to join our team. The Senior Workplace Coordinator plays a pivotal role in representing the company to employees, guests, and business partners. This role is key in ensuring the smooth running of our two offices in Málaga and Madrid, delivering a positive workplace experience for both staff and visitors. The role involves overseeing daily operations, maintaining office facilities, managing health and safety, general maintenance, and handling administrative procedures to create and maintain a functional and safe working environment.
Day-to-Day Responsibilities:
Serve as the main point of contact at the front-of-house reception, greeting and assisting all stakeholders in a courteous and professional manner.
Assist with the onboarding of new hires, including desk allocation, new starter welcome packs, access cards, and office tours for both Málaga and Madrid offices.
Take ownership of office administrative procedures, including meeting room management, visitor processes, access cards, catering requests, and office/kitchen supplies.
Oversee the daily operations of office facilities, including building security, maintenance, cleaning, and postal services. Undertake regular office inspections and proactively address any issues, liaising with the building management company regarding maintenance and upkeep.
Foster and communicate expectations around health and safety and office cleanliness, including the “clear desk policy,” regular office tidy-ups, keeping fire escape routes clear, and ensuring kitchen cleanliness.
Collaborate with departments across the organisation to standardise processes and align the employee experience.
Manage mail duties, including distributing post/packages, sending mail, and booking local and international couriers.
Oversee and organise company events and workshops, such as the Christmas party, summer party, charity events, and Learning Labs.
What We’re Looking for:
Extensive experience in office and facilities management or similar roles.
A professional, friendly, and positive disposition.
Trustworthy and discreet when handling sensitive and confidential information.
Strong problem-solving and analytical thinking skills.
Excellent interpersonal communication skills, able to engage with others in a warm, helpful manner while building credibility and rapport.
Strong written and verbal communication skills in English.
Advanced knowledge of Microsoft Office applications.
A solid understanding of business processes, operations, and organisational systems and structures.
Strong organisational skills with the ability to work under pressure, manage multiple tasks, and meet tight deadlines.
This is a 100% office based position
Interview Process: Our interview process consists of; a short call with our internal talent team, followed by a one hour technical interview and finally a one hour competency interview. Our talent team will be there to give guidance and support you through the process.
